Below is a rundown of a typical document scanning process:
Summary
• We will work in 2 – 3 person teams to break down and scan client files. Editing and
finalizing will be done on our secure web server and at our facility in Haverhill MA.
Prep
• Naming data is entered into our database to create barcode cover sheets.
• The barcode cover sheets tell the computer what to name the file and where to store
the file. This process allows us to scan multiple files at once and greatly speeds up
the process.
• The files will be broken down in natural order and all staples and binding will be
removed and damaged documents repaired. A corresponding cover sheet will then
be placed on the disassembled document. This process is then repeated.
Scanning
• Files will be fed through our high speed scanner.
• Innovations like SurePath paper handling, Perfect Page Scanning, and three
independent ultrasonic multi-feed detection sensors make sure all documents are
clear and organized.
• All files are uploaded to our secure web portal and are encrypted prior to uploading,
using 256-bit AES. AES is an industry (and government) standard and is one of the
most well studied and most secure encryption algorithms available.
Edit
• Make all edits that need to be made so that all documents are clear, rotated and
deskewed.
• Optical Character Recognition (OCR) will be run on all pages to make the documents
completely searchable and create an invisible layer of text hidden behind all scanned
images. This will allow copy, paste, and search capabilities.
Finalize
• Burn all information to DVD’s as a backup.
• Upload all information to client’s server.
• Arrange to have documents either destroyed or stored.
